Medline is a manufacturer and distributor of a wide range of medical and surgical products for healthcare facilities and retail outlets worldwide. In Europe they have 2 factories and 8 distribution centers. In total they have 28,000 demand forecasting units on which demand is realized. To meet this demand in a structured way, Medline has been using an overarching forecasting software, Forecast Pro TRAC, since 2015.
The forecasting process is focused on the business in Europe and supports the supply chain. The forecasting software looks at historical data from the past 3 years. Based on this historical data, the system makes a forecast for the next 18 months. Using this forecasting software, Medline can improve its forecasting accuracy to have a better chance of having the right product at the right time, in the right quantity, at the right place.
In 2018, the transformation from stand-alone PC environments to a server environment with automatic interfacing with the ERP system began. Additional data was also read in and SKUs were prioritized using calculated fields.
The challenge
In 2018, a request arose from Medline to establish a link with the CRM system. This link would bring a better connection to the current market situation. With such a link, not only historical data is looked at, but also outstanding quotes, new customers and customers who have dropped out. All important inputs for demand planning are displayed in one screen, allowing planners to make better decisions. This allows them to achieve a supply chain that is even more responsive to the current situation.
The demand for such a linkage grew during the COVID period. However, during this period Medline experienced tremendous business growth, with its attendant challenges. During the COVID period, the supply and demand situation for pandemic articles was highly unpredictable, drastically reducing the accuracy of forecasts. Thus, the implementation of the CRM link was postponed for more than a year before being picked up again.
Forecasting software
The forecasting software in use at Medline is Forecast Pro TRAC. Through this system, one can create a sales forecast with the click of a button.
Forecast Pro TRAC uses a wide range of forecasting models. For example, it is possible to use specialized methodologies for new products, promotional items and one-time promotions. Thereby there is the possibility to choose the "best choice" option. By using various forecasting models, a sales forecast can be made quickly and easily.
Medline uses this forecasting software very effectively throughout Europe. It enables them to optimize their demand-driven planning process and thus work cost-effectively. A link to Medline 's CRM system ensures smoother communication with the sales team.
Consultancy
From ATIM Solutions, the consultancy was provided to Medline. A consultant from ATIM Solutions was closely involved in the implementation of the CRM link. From the beginning of the process, our consultant was in conversation with Medline. The requirements were identified and applied in the software. Training and support were then provided. Currently, training is still taking place. ATIM Solutions also provides a first-line help desk to Medline.
One consultant from ATIM Solutions was involved throughout the entire project. Due to the temporary stop during the COVID period, the entire project eventually lasted four years. From the design phase to hypercare after the GoLive.
